Semi-Private Professional Photography Event

6:00pm, April 21, 2022

We welcome our community to join us for our semi-private sunset photography event! This event is open to individuals wishing to have photos done at the farm and to professional photographers, please note that Southern Hill Farms will not be providing any photography services. This is strictly a rental fee to utilize the farm during this sunset timeframe. Space is limited and registration is first come, first served. If you are an individual who is looking for a photographer, please contact us at info@southernhillfarms.com for a list photographers that we recommend.

• Thursday, April 21st - 6:00 pm to 8:30 pm. Check-in begins at 5:45 pm. All guests will exit the property by 8:30 pm.
• This is a semi-private event, meaning we are not open for a public u-pick event, however there will be other photographers on site.
• Please note that u-pick farm activities will not be available during this event, including food and beverage, u-pick activities and rides. This is strictly a rental fee to utilize the farm grounds for photography.
• Only 1 registration is needed per photographer. Clients will not need to register separately with us. We will be in contact with you regarding your client list, as they will need to check in with us upon arrival.

At Southern Hill Farms (SHF) we openly welcome and encourage everyone in our community to use our stunning farmland and alluring crops for their casual photography, selfies, private social media, and blogging use during our normal business hours. This agreement and contract is strictly for business or commercial photography. Please note that fees will apply.

Does your photography fall into the business & commercial category? SHF considers business or commercial photography to be any photographer, model, individual or business that wishes to use our property, crops, buildings or farm equipment as their backdrop in photographs for financial and business gain. An example of this would be photographers using our crops and/or fields as a backdrop for a family photography session, businesses recruiting models to pose in our crops and/or fields for promotional images, and clients wishing to use pictures of the farm for commercial imagery purposes, just to name a few.

Southern Hill Farms' grounds include the following. Please note that no single crop can be guaranteed at any given time, and a specific crop cannot be guaranteed at any time. In the case that one crop is not available on the day of this event, you will be required to shoot in another location on the farm.

• 5 acres of peach trees
• 40 acres of blueberry bushes
• 1.5 acres of sunflowers
• Picnic tables and shade for resting
• Children's playground
• On-site permanent restrooms
• Ample parking

Important Notes

· Please ensure that your clients have your day-of contact information. They’ll need an easy way to find you. Southern Hill Farms is not responsible for directing clients to you, it is a large farm.

· Vehicles are not allowed in crops and/or fields under any circumstances. Please plan to park by the red barn & meet your SHF representative for check-in. Check-in begins 15 minutes prior to your confirmed session.

· Any props must be carried to your photoshoot location. We recommend a wagon to transport props or other items that are too big to fit within a bag. All props must be removed upon departure.

· All professional photographers must have submitted this registration and payment to secure their spot at our semi-private photography event.

· Any destruction of crops is prohibited. No picking of crops will be allowed during photography session.

Guidelines and What to Expect for your Session

1. All professional photography performed at Southern Hill Farms must have written consent by Southern Hill Farms prior to being taken, such as this registration.

2. Please take into consideration weather and the natural environment as you and your clients prepare for your visit on the farm. Boots or closed-toed shoes are recommended. Please dress appropriately for the forecasted weather.

3. All cancellations must be requested at least 48 hours prior to your selected session date for a full refund. Within 48 hours of your selected session date, refunds will not be granted.

4. We ask children under 12 years of age to be accompanied by an adult at all times.

5. If any fixed or temporary objects are moved or damaged during photography, the photographer will be held responsible for replacement and/or payment. Southern Hill Farms also reserves the right to prohibit inappropriate attire on premises at any time. Southern Hill Farms prohibits the use of its property by sexually oriented businesses and/or photographers.

6. Any props, clothing, furniture or other objects used for the photo shoot must be removed at the end of the session.

7. Use care and caution around moving vehicles and landscaping. This is a farm: watch for snakes, fire ants, wasps, uneven ground, etc. Please heed all safety advisories posted.

8. Pets are permitted at our Semi Private Professional Photography events only, however no pets are allowed in the blueberry, strawberry or peach fields at any time. They are allowed in the flower fields. All pets must remain on a leash at all times and under the owner’s watch and control. We will not watch pets while you go into the fields. Dogs cannot, under any circumstances, be left in vehicles unattended. Your client must pick up after their animals and dispose of waste properly. Please bring your own waste bags for clean-up. Should any damage occur in flower fields, photographer and client are responsible (reference guideline #5).

9. Every possible effort will be made to accommodate re-scheduling a session due to an inclement weather event. We will contact all scheduled sessions for possible re-scheduling. Event will not be canceled due to rain, unless there are thunderstorms and it is unsafe for guests to be on the farm.

10. Any activity requiring an outside vendor will require prior notification and approval by Southern Hill Farms.

11. There will be other professional photographers on the farm while you are here. Southern Hill Farms does not reserve settings of specific areas. It is your responsibility to respectfully communicate with other photographers and share the area.

12. All payments are due in full at time of contract submission. Your spot in this event is not confirmed until registration and payment is complete.

I AGREE, ON BEHALF OF MYSELF, MY EMPLOYEES AND MY CLIENT(S), TO NOT HOLD SOUTHERN HILL FARMS (SHF) RESPONSIBLE FOR ANY INJURIES AND/OR DAMAGES SUFFERED BY ME, MY EMPLOYEES AND/OR MY CLIENT(S) WHILE ON THE PREMISES OF THE FARM. I AGREE TO INDEMNIFY, SAVE AND HOLD HARMLESS THE FARM, ITS OWNERS, AGENTS, CONTRACTORS AND EMPLOYEES FROM ANY AND ALL LOSS, LIABILITY, DAMAGE OR COSTS WHATSOEVER, ARISING OUT OF OR RELATED TO ANY LOSS, DAMAGE OR INJURY (INCLUDING DEATH) TO ME, MY EMPLOYEES OR MY CLIENT(S) ARISING OUT OF OR ANY WAY CONNECTED WITH PARTICIPATION IN THE ACTIVITIES AND/OR ON THE PREMISES OF THE FARM FOR ANY REASON OR CAUSE. THIS INDEMNITY WILL ARISE UPON ANY ACTION OR SUIT OR CLAIM FOR LOSS, DAMAGES AND COSTS WHATSOEVER ARISING OUT OF RELATED TO ARISING OUT OF, OR IN ANY WAY CONNECTED WITH, MY CLIENT’S PARTICIPATION IN ACTIVITIES OR PRESENCE UPON THE PREMISES OF THE FARM. THE COST HERE INDEMNIFIED INCLUDE, BUT ARE NOT LIMITED TO, ALL COSTS, EXPENSES AND FEES ARISING OUT OF AND CONNECTED WITH THE FARM’S DEFENSE AGAINST ANY CLAIM RELEASED, DISCHARGED, AND UPON WHICH PROMISE HAS BEEN MADE NOT TO SUE OR MAKE A CLAIM.
